Terms & Conditions
You must agree to these Terms and Conditions in order to apply.
By submitting your application for one of our events, you are also agreeing to the information and Terms and Conditions set out on this page.
1. Booking Terms & Conditions
ALL traders must obtain public liability insurance. It is the individual stallholder’s responsibility to ensure they have relevant public liability insurance (at least £1m), and any other certificates relating to your products/business (such as cosmetic safety certificates/gas safety certificates) that are required by law, for all events. Hygiene / gas safety certificates and TENS (if required) must be submitted to the organisers in advance by anyone selling food or alcohol. Please ensure your Eventaly profiles updated. We may also ask to see a copy of your insurance so please ensure you have this upon booking or that you’re willing to obtain before the event date. Traders will not be permitted to trade unless copies of required documents are sent.
Please only apply if you are committed to attending and can make the proposed date. Any exhibitors that frequency cancel after being accepted to an event could jeopardise acceptance to future events.
All applications must/will be made using Eventaly unless I have invoiced you separately (this will come from our official email address only - we will never ask you for bank details or request payments any other way). You must register and create a free profile which allows you to apply for all Paper Daisy events. See here for more info regarding Eventaly. All complete applications are looked at and fully considered for each curated event. If successful, you will be emailed with an invoice - you can also check your application status on Eventally. Prompt payment (as stated on invoice) must be received to secure your place. This is usually 3-10 days but please check your invoice. In the event of non payment within time stated on invoice will result in automatic cancellation and your space will be offered to someone else.
Any deposits paid are non-refundable.
All food stalls should display allergy information as clearly as possible and direct your customers according to these allergies and ingredients. It is your sole responsibility to do so sufficiently as you are responsible for any effects or reactions your product has caused and may be liable.
Each venue differs with space/equipment/power available, please state FULLY on your application (under the notes section in Eventaly) if you require additional space/rail/browser as these will not be available on the day - the space you book and pay for is the space you will be allocated. All extra equipment (e.g rails, extension leads, browsers) are NOT provided.
Extra space is charged accordingly:
Small rail space (up to 110 cm length) placed front to back, small display stand or easel - £10
Large rail space, stand or easel (over 110cm) - POA depending on size
Additional table (not provided) - £10 per linear 1ft/30cm width)
Browsers are free if placed in front of your pitch (where space allows) but must be added to your application form/requirements form. There may be a small charge at venues with restricted space but this will be stated on application.
Please be as accurate as possible with listing what you’d like to sell within your application form/s. If there are any changes/updates to your products please let us know in advance. If products are not listed on application we may ask you to remove from your stall.
Please ensure you put full links to your socials/website and as much info as possible to fully support your application. Due to volume of applications, incomplete applications are automatically rejected.
Toys must comply with the GOV.UK regulations. If you are making toys to sell on your stall, then you must make sure that your products meet these requirements or state clearly not suitable as toys.
Priority will always be given to handmade/artists/designers first but if no other application is made within that category we may consider a small, independent business application to offer variety to visitors if we believe it’s an appropriate addition to the event. Sorry no MLM or franchises accepted.
2. Event Cancellation & Refund Terms
All cancellations made less than one calendar month before the event are non-refundable.
Transfers to other dates or events are not permitted.
Cancellations made more than one calendar month before the event may be eligible for a refund if a suitable replacement is found. A £12 administration fee will be deducted from any approved refund.
If you booked through Eventaly and a refund is approved, the remaining pitch fee will be returned to your original payment method. Please allow 7–10 working days for the refund to be processed before following up.
All deposits are non refundable.
The admin fee is £12 per transaction. If cancelling only one day of a two-day event, the full £12 administration fee will still apply.
3. Bad Weather / Outside Events Terms
Outdoor events (or outside parts of an event) will only be cancelled if conditions are deemed to be unsafe to proceed at the site.
If an event is cancelled, a refund of the stall fee will be offered, minus £15 per fully paid invoice.
Carry-over credits to another event may be considered at the discretion of Paper Daisy Events, subject to availability.
Jubilee Square Events Only
If an event at Jubilee Square is cancelled due to weather, we will attempt to reschedule the event.
You may transfer your booking to the rescheduled date.
If rescheduling is not possible or you are unable to attend the new date, a refund will be issued minus £15 to cover site deposits, advertising, and admin costs.
Transfers to any other dates at this venue will not be permitted.
Cancellations made by the venue or due to circumstances outside our control are non-refundable. However, we will make reasonable efforts to recover costs from the party responsible.
No refunds will be given if you cancel because your products or set-up are not suitable for the weather on the day.
4. Safety & Equipment
All gazebos must be fit for purpose and fully secured with appropriate heavy-duty weights on each leg, in all weather conditions. We recommend the use of proper commercial gazebos to withstand the British weather conditions.
A site inspection will take place before the event. If equipment is deemed unsafe or unsuitable for the conditions, you will not be permitted to trade.
No refunds will be given in these cases.
We are not liable for any damage caused to your gazebo or equipment.
Chairs are not provided at outdoor events (unless stated upon application).
4. General Terms & Conditions
In the unlikely event of Abandonment & Limitation: In the event of cancellation, abandonment, postponement or limitation of the event, there will be no claim against the organisers who reserved the right to cancel or transfer the event to another venue and/or date. The organisers cannot be held responsible for any loss of earnings or expenses incurred by the stallholder as the result of cancellations, abandonment or limitation of the event, the failure of electricity supply, inclement weather, incorrect or non-appearance of advertisements, removal of directional signs or any other factor.
Stallholders are solely responsible for their own stall/stall area, stock and personal possessions and the organisers accept no responsibility or liability for any damages, theft or loss for any claims against stallholders.
Please use a table covering for your stall, not provided.
You will not be able to pack up your stall before end of event as this contravenes health & safety regulations to our customers. Any stallholder who packs up early, without permission will not be accepted for any future events.
You must be fully packed up and leave site within 1 hour of event closing, failure to do so may result in a further charge by venue - which you will be responsible for and billed.
Paper Daisy Events are not responsible for providing parking, parking fines received or damage to cars or equipment during loading or event.
Emergency Exits and escape routes must be kept free of obstruction at all times.
All electrical equipment/extension leads must comply with the latest regulations and be PAT tested (if required).
Stallholders must remove all stock, personal belongings at end of the day. Please ensure you leave your stall area clean and tidy and take your rubbish home with you.
We may include details of your website/images within our own marketing materials to promote our events and for blogging purposes. Please let us know if you would like to opt out.
We may take photos/videos of you/your stall at our events. Please let us know in advance if you would prefer us not too.
